Terms of Service

1. Acceptance of Terms
These Terms of Service ("Terms") constitute a legally binding agreement between you ("User", "you", "your") and Cankat Sarac trading as Reflect ("Reflect", "we", "us", "our") governing your use of the Reflect mobile application (the "App") and the website at reflectapp.software (the "Website") (collectively, the "Service").
By creating an account, downloading the App, or otherwise accessing or using the Service, you acknowledge that you have read, understood, and agree to be bound by these Terms and our Privacy Policy. If you do not agree to these Terms, you must not use the Service.
2. Eligibility
You must be at least 16 years of age (or 13 in jurisdictions where COPPA applies) to use the Service. By using the Service, you represent and warrant that you meet this age requirement. If you are under the age of 18, you confirm that you have obtained the consent of a parent or legal guardian to use the Service.
3. Account Registration
To access most features of the Service, you must create an account using your email address and password, or through a supported social login provider (Google or Apple Sign-In).
You agree to:
- Provide accurate, current, and complete registration information
- Maintain and promptly update your account information
- Keep your login credentials secure and confidential
- Immediately notify us of any unauthorised use of your account
- Accept responsibility for all activities that occur under your account
We reserve the right to suspend or terminate accounts that we reasonably believe have been compromised or are being used in violation of these Terms.
4. Description of the Service
Reflect is a personal development application that provides:
- Daily reflection prompts across multiple life categories
- AI-powered analysis of reflection depth and quality
- AI coaching chat for guided self-exploration
- Progress tracking, streak monitoring, and analytics dashboard
- Multi-language support (14 languages)
5. Subscription and Payment Terms
5.1 Free and Premium Tiers
The Service offers a free tier with core functionality and a premium subscription ("Reflect Premium") with additional features including unlimited AI coaching chats. Free users are limited to 3 AI coaching chats per day.
5.2 Subscription Plans
Reflect Premium is available as:
- Monthly subscription — billed each month
- Quarterly subscription — billed every 3 months
- Annual subscription — billed once per year
5.3 Payment Processing
All payments are processed through the Apple App Store (for iOS) or Google Play Store (for Android). By subscribing, you agree to the payment terms of the applicable app store. We do not directly collect or store your payment card information.
5.4 Automatic Renewal
Subscriptions automatically renew at the end of each billing period unless you cancel at least 24 hours before the end of the current period. You can manage and cancel your subscription through your device's app store settings (Apple App Store or Google Play Store).
5.5 Refunds
Refunds are handled by the respective app store in accordance with their refund policies. To request a refund, please contact Apple App Store Support or Google Play Support directly. We cannot process refunds directly.
5.6 Price Changes
We reserve the right to change subscription prices. Any price changes will take effect for the next billing period after notice is given. If you do not agree to a price change, you may cancel your subscription before the new price takes effect.
6. User Content
6.1 Ownership
You retain full ownership of all content you create through the Service, including your reflections, chat messages, and any other user-generated content ("User Content"). We do not claim ownership of your User Content.
6.2 Licence Grant
By using the Service, you grant us a limited, non-exclusive, non-transferable licence to process your User Content solely for the purpose of providing, maintaining, and improving the Service. This includes transmitting your reflection content to AI service providers for analysis and generating coaching responses.
6.3 No Training Use
We do not use your User Content to train, fine-tune, or otherwise develop AI or machine learning models. Your content is used solely for real-time inference (providing you with AI-generated analysis and coaching responses).
7. Acceptable Use
You agree not to:
- Use the Service for any unlawful purpose or in violation of applicable law
- Attempt to gain unauthorised access to other users' accounts or our systems
- Reverse engineer, decompile, or disassemble the App or any part of the Service
- Use automated systems, bots, or scripts to access the Service
- Interfere with or disrupt the integrity or performance of the Service
- Circumvent any rate-limiting or access control measures
- Use the Service to harass, abuse, threaten, or harm others
- Upload content that is illegal, offensive, defamatory, or infringes third-party rights
- Attempt to extract data from the Service for commercial purposes
- Impersonate any person or entity, or misrepresent your affiliation with any person or entity
- Create multiple accounts for abusive purposes or to circumvent subscription limits
8. AI-Generated Content Disclaimer
Important: The AI-powered features of the Service, including reflection analysis scores, coaching chat responses, and personalised prompts, are generated by artificial intelligence systems and are provided for informational and personal development purposes only.
AI-generated content:
- Is not a substitute for professional medical, psychological, psychiatric, therapeutic, or counselling advice
- May contain inaccuracies or produce unexpected responses
- Should not be relied upon for making important life, health, or safety decisions
- Does not create a therapist-patient, counsellor-client, or any other professional relationship
If you are experiencing a mental health crisis, please contact your local emergency services or a crisis helpline immediately. The Service is not designed to provide crisis intervention or emergency support.
9. Intellectual Property
The Service, including its design, features, functionality, code, text, graphics, logos, icons, images, and compilation thereof, is the exclusive property of Reflect and is protected by copyright, trademark, and other intellectual property laws.
We grant you a limited, non-exclusive, non-transferable, revocable licence to use the App on your personal device for your personal, non-commercial use, subject to these Terms. This licence does not include the right to sublicense, sell, resell, or commercially exploit the Service.
The "Reflect" name, logo, and all related names, logos, product and service names, designs, and slogans are our trademarks. You may not use such marks without our prior written permission.
10. Service Availability and Modifications
We strive to provide continuous access to the Service but do not guarantee uninterrupted availability. The Service may be temporarily unavailable due to maintenance, updates, or circumstances beyond our control.
We reserve the right to modify, suspend, or discontinue any part of the Service at any time, with or without notice. We will make reasonable efforts to notify you of material changes that affect your use of the Service. We shall not be liable for any modification, suspension, or discontinuation of the Service.
11. Account Termination
11.1 Termination by You
You may delete your account at any time through the App (Profile > Delete Account). Upon deletion, all your locally stored data and Firebase authentication credentials will be permanently removed. Please cancel any active subscriptions through your app store before deleting your account.
11.2 Termination by Us
We may suspend or terminate your access to the Service immediately, without prior notice or liability, if:
- You breach any provision of these Terms
- We are required to do so by law
- We reasonably believe your account has been compromised
- Your continued use poses a risk to the Service or other users
11.3 Effect of Termination
Upon termination, your right to use the Service ceases immediately. Sections of these Terms that by their nature should survive termination (including, without limitation, Sections 6, 8, 9, 12, 13, 14, and 15) will continue to apply.
12. Limitation of Liability
TO THE MAXIMUM EXTENT PERMITTED BY APPLICABLE LAW:
- THE SERVICE IS PROVIDED ON AN "AS IS" AND "AS AVAILABLE" BASIS WITHOUT WARRANTIES OF ANY KIND, WHETHER EXPRESS, IMPLIED, OR STATUTORY, INCLUDING BUT NOT LIMITED TO WARRANTIES OF MERCHANTABILITY, FITNESS FOR A PARTICULAR PURPOSE, AND NON-INFRINGEMENT.
- IN NO EVENT SHALL REFLECT, ITS OWNER, OR ITS SERVICE PROVIDERS BE LIABLE FOR ANY INDIRECT, INCIDENTAL, SPECIAL, CONSEQUENTIAL, OR PUNITIVE DAMAGES, INCLUDING BUT NOT LIMITED TO LOSS OF DATA, LOSS OF PROFITS, LOSS OF GOODWILL, OR PERSONAL INJURY, ARISING OUT OF OR IN CONNECTION WITH YOUR USE OF THE SERVICE.
- OUR TOTAL AGGREGATE LIABILITY FOR ALL CLAIMS ARISING OUT OF OR RELATING TO THESE TERMS OR THE SERVICE SHALL NOT EXCEED THE AMOUNT YOU PAID TO US IN THE 12 MONTHS PRECEDING THE EVENT GIVING RISE TO THE CLAIM, OR £100 (GBP), WHICHEVER IS GREATER.
Nothing in these Terms excludes or limits our liability for: (a) death or personal injury caused by our negligence; (b) fraud or fraudulent misrepresentation; or (c) any other liability that cannot be excluded or limited by applicable law.
13. Indemnification
You agree to indemnify, defend, and hold harmless Reflect and its owner from and against any claims, liabilities, damages, losses, costs, and expenses (including reasonable legal fees) arising out of or in connection with:
- Your use of the Service
- Your User Content
- Your violation of these Terms
- Your violation of any rights of any third party
- Your violation of any applicable law or regulation
14. Governing Law and Dispute Resolution
These Terms shall be governed by and construed in accordance with the laws of England and Wales, without regard to conflict of law principles.
Any dispute arising out of or in connection with these Terms shall be subject to the exclusive jurisdiction of the courts of England and Wales, save that if you are a consumer resident in the European Union, you may also bring proceedings in the courts of the EU Member State in which you are domiciled.
If you are a consumer in the EU, you may also make use of the European Commission's Online Dispute Resolution platform at ec.europa.eu/consumers/odr.
15. General Provisions
15.1 Entire Agreement
These Terms, together with the Privacy Policy and Cookie Policy, constitute the entire agreement between you and Reflect regarding the Service and supersede all prior agreements and understandings.
15.2 Severability
If any provision of these Terms is held to be invalid or unenforceable, the remaining provisions shall continue in full force and effect. The invalid or unenforceable provision shall be modified to the minimum extent necessary to make it valid and enforceable.
15.3 Waiver
Our failure to enforce any right or provision of these Terms shall not constitute a waiver of that right or provision.
15.4 Assignment
You may not assign or transfer these Terms or your rights under them without our prior written consent. We may assign our rights and obligations under these Terms without restriction.
15.5 Force Majeure
We shall not be liable for any failure or delay in performing our obligations under these Terms due to circumstances beyond our reasonable control, including but not limited to natural disasters, acts of government, internet or telecommunications failures, power outages, or third-party service provider outages.
16. Changes to These Terms
We reserve the right to modify these Terms at any time. When we make material changes, we will update the "Last updated" date and may notify you through the App or by other means. Your continued use of the Service following the posting of revised Terms constitutes your acceptance of such changes.
